Continuing Education Program Outreach Specialist

UW-Waukesha

Position Appointment

Full-time. Hours vary and may include evening and weekends as needed. Position reports to and serves as back up for Continuing Education Director.

Position Goal

This position markets, coordinates and develops continuing education programs in partnership with Continuing Education Director. In addition, the Outreach Specialist works to ensure that campus Continuing Education program builds reserves sufficient to sustain operations and maintain the position. One of the focuses of this position is to develop programs for youth and children through partnerships with local schools and organizations.

Responsibilities

Program Development & Assessment

  1. Develop cost effective program segment analysis to determine future programming with goal of 85 – 90% program run rates.
  2. Assess the professional, cultural and academic needs of the community by working with advisory groups, community agencies, professional organizations and individuals and respond with “cutting edge” programs.
  3. Design, implement and supervise curricular activities including course descriptions, course objectives, course content and course offerings.
  4. Improve campus visibility and department profitability by developing and promoting programs of interest in the sciences, home schoolers and “gifted and talented”.
  5. Develop relationships with high schools to offer credit outreach programming.
  6. Enter course information into Peopleware registration software. Maintain up to date and user-friendly website.
  7. Work with University Relations and Maintenance Department to ensure appropriate rooms are assigned to classes and setups completed timely.
  8. Develop and lead local and domestic trips of community interest.

Staff Supervision

  1. Negotiate compensation with instructors, and process their contracts, payroll forms ensuring they are compensated in a timely manner.
  2. Assist instructors in preparation of handouts. Arrange for SMART classroom training, parking permits and classroom keys.
  3. Create and compile course evaluations and review with instructors, making appropriate changes based on student feedback.
  4. Recruit, hire and train work study student assistants and community volunteers to support special projects and events.

Customer Service

  1. Ensure telephone calls are returned and class registrations processed within 24 hours. Email or mail confirmations, parking information. Inform instructors and students of date and class changes. Respond to student emails timely.
  2. Process payment for classes, make deposits with Business Office and issue vouchers and/or refunds when needed.
  3. Provide promotion and support for online classes.
  4. Keep mailing and marketing lists current.

Promotion & Marketing

  1. Develop press releases and photographs for distribution to newspaper, magazine, television, and radio contacts communicating the university’s role in community education.
  2. Create flyers, brochures and design catalog to promote continuing education programs.
  3. Work with University Relations, faculty, administrators, professionals, the general public and public officials, to market and promote continuing education activities.
  4. Develop more profitable program promotion methods, replacing catalog market saturation mailing, including email, fostering relationships with community sectors.
  5. Revise and update UW-Waukesha Continuing Education website to make it more visible and accessible to the community.
  6. Develop and give presentations to community groups about department and university.
  7. Wherever possible, develop collaborative relationships with community businesses providing win-win programming for them and us.
  8. Coordinate or assist in coordination of outreach community events (Waukesha JanBoree, Festival of Trees, County and State Fairs, Chamber Events).

Qualifications

Bachelor’s degree required, master’s degree preferred. Computer proficiency in Word, PowerPoint, Excel and Outlook also required. Educational programming and marketing experience preferred. Familiarity with Waukesha County is helpful in understanding community needs. Energy, creativity, organizational and problem solving skills as well as motivation to work hard are required. Hours vary and may include evening and weekends as needed.

Minimum Salary

$41,730 with excellent UW System benefits package.
